Privacy and saving your work

What belongs here

Use the Participant ID from CVR Tracker as the file label, with the generated file reference and numbered household members. Participant IDs are identifying information and are stored inside your account-owned file record. You can save checklist answers, member roles and ages, follow-up dates, mailing details, work-log choices, brief checklist notes, section notes, N/A explanations and completed checks. Optional checklist number fields store income, asset, expense, utility and rent amounts. These amounts are linked to your Participant ID and belong to the household financial record.

Keep names, initials, SSNs, birth dates, addresses, phone numbers, email addresses, account numbers, EIV report details, medical information and documents in your team's records. Put the Participant ID or t-code only in the Participant ID / file label field; earlier files may also have a Tenant ID field.

Checklist and section notes must describe only review findings or next steps. N/A explanations describe why an item does not apply. Do not include names, addresses, health details, contact information or identification numbers. Format checks cannot detect every kind of personal information.

Your saved files

Sign in to save your work. Saved files are stored privately and can be opened only through the account that owns them. This app keeps a record of file changes without collecting tenant documents.

Saving and resuming

Changes save automatically. Check the save message: "Saving…" means a save is still in progress; "Saved at" confirms it finished. If a save fails, keep the file open. The app retries connection errors, and you can select Save progress to try again. If the file was updated in another tab, the app stops rather than replacing those changes.

The app tries to finish a pending save when you leave. A sudden power failure, browser crash or lost connection can interrupt a save. Reopen the latest saved file to continue. This app does not keep an extra copy of your file in browser storage.

Mailing follow-up

Select mailing or interview follow-up when you need the tracker. Existing entries and linked deadlines stay active. The app records the letter type, mailing date and postal method under the file reference. It does not store recipient details, letter contents, tracking numbers or delivery confirmation, and it does not send letters or emails.

Training Environment

Anyone with the site link can view training and the practice checklist. Keep client identifiers and documents out of the training environment. Practice does not open or change saved files. Refreshing or inactivity clears the practice checklist.

Downloads

Progress summaries can contain the tenant ID, checklist answers, checklist and section notes, N/A explanations, member roles and ages, work-log information and any checklist amounts you entered. The Google Sheets worksheet is a blank calculation template. Make your own copy and enter calculations there without tenant identifiers. Worksheet edits are not sent back to this app. Manage access to your copy through Google Sheets sharing. Save downloads only in your team's approved location.

Documents and files provided by FILE READY itself, including advisory documents and the income calculation worksheet, are private. They are stored outside the public site and open only to signed-in members, and an account can only be created with an email address on the member's own agency domain.

Completed and earlier files

Completed files move to your archive. You can move older archived files to Deleted files; their saved checklists and history are retained, and a file can be restored from there. Files still being worked on are not included. Earlier restricted records are not displayed or automatically deleted by this workspace.

Follow your team's privacy and document-handling instructions. This checklist supports your work; it does not approve a housing decision or certify compliance.
